Account information: Full name, email address, phone number, and role (landlord or tenant).
Property information: Property addresses, photos, rent amounts, lease terms, and unit details provided by landlords.
Payment records: Rent payment submissions, amounts, dates, receipts, and verification status. We do not store card numbers or bank credentials.
Maintenance records: Issue descriptions, photos, and status updates submitted by tenants and landlords.
Messages: Communications between landlords and tenants through the in-platform messaging system.
Digital signatures: Electronic signature images and consent timestamps captured during lease signing and inspections.
Tax information: Tax Identification Numbers (TIN) voluntarily provided by landlords.
Usage data: Pages visited, features used, and session information collected automatically.

3. How We Use Your Information

To operate and provide the BulaLease platform.
To send transactional emails (lease invites, payment confirmations, maintenance updates, rent reminders).
To send Viber/SMS notifications for rent reminders and cyclone alerts.
To screen listing content for prohibited material using automated content moderation.
To process receipt images using optical character recognition (OCR) for payment verification.
To generate financial reports and rental income summaries for landlords and their accountants.

4. Where Your Data Is Stored

BulaLease stores data on enterprise-grade cloud infrastructure with industry-standard encryption at rest and in transit.

We use industry-standard security measures including row-level security, encrypted connections (HTTPS/TLS), and access controls to protect your data.

5. Who Can See Your Data

Landlords can see their tenants' names, contact details, payment history, and maintenance requests for properties they manage.
Tenants can see their own lease, payment history, and messages with their landlord.
Team members (property managers, accountants, viewers) can see data scoped to their assigned role — set by the landlord who invited them.
We do not sell your personal information to third parties.

6. Third-Party Services

We share data with trusted third-party service providers to operate the platform, including providers for:

Database, authentication, and file storage
Transactional email delivery
Viber and SMS notifications
Automated content moderation
Receipt processing and OCR
Web hosting and infrastructure
Advertising performance measurement

All providers are bound by data processing agreements and maintain their own privacy and security standards. Data is processed in accordance with applicable laws.

7. Data Retention

We retain your account data for as long as your account is active. Payment records and lease agreements are retained for 7 years to comply with Fiji tax and financial record-keeping requirements. You may request deletion of your account and personal data by contacting us — note that financial records required for compliance cannot be deleted early.

You have the right to:

Access the personal information we hold about you.
Correct inaccurate information in your account settings.
Request deletion of your account and personal data (subject to retention requirements above).

9. Cookies & Advertising

BulaLease uses session cookies to keep you logged in. We use analytics to understand how the platform is used.

We also use the Meta (Facebook) Pixel — a tool provided by Meta Platforms, Inc. — to measure the performance of our advertising and understand how visitors find and use bulalease.com. The Meta Pixel may set cookies and record actions such as pages viewed and account sign-ups. This helps us show our ads to people who are likely to find BulaLease useful. We do not sell your personal information. You can manage ad personalisation in your Meta account settings, and control cookies through your browser or device privacy settings.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a notice in the platform. Continued use of BulaLease after changes are published constitutes acceptance of the updated Policy.
